Team days, launches and year-end functions work better outdoors — if the logistics are handled properly.

Meeting rooms are efficient and forgettable. Moving a company day outdoors changes how people talk to each other — but only if the practical side is invisible, which takes more planning, not less.

Plan the working day, then the setting

Start from the agenda. Sessions, breakaways, meals and travel time dictate what the space has to do. A beautiful lawn is no use if forty people need a screen they can actually see.

The non-negotiables for an outdoor work day

  • Shade and a wet-weather plan for every session, not just the main one
  • Power and backup power, with the AV load calculated in advance
  • Sound that carries without shouting — a PA, not a raised voice
  • Washrooms proportionate to headcount
  • A quiet corner for the calls people will inevitably have to take

Feed people properly and on time

Late lunch derails an afternoon agenda faster than a bad speaker. Set service times against the run sheet, brief the kitchen on them, and build in the fifteen-minute buffer you will need.

Brand it lightly

Staging, signage and a clean backdrop for photographs are worth doing. Wrapping the whole garden in pull-up banners is not — the setting is the point.
